Terms and Conditions 
These Terms and Conditions apply to Isle of Wight Revolution. 
These terms tell you who we are, how we will provide products and services to you, how you and we may change or end the contract, what to do if there is a problem and other important information. 
Isle of Wight Revolution operates under 1st Shanklin Scout Group (Charity No: 302136) and any reference to ‘we’, ‘us’ ‘our’ and ‘The Management’ in these booking conditions is to Isle of Wight Revolution

What is Included? 
Please check our website www.iowrevolution.org for the latest information on Services, activities and facilities.
For Participant Groups, the Event Fee covers access to the camp for the duration of the event, all elements of the Participant programme and site fees whilst at the Event. 
The Event Fee does not include travel to and/or from the Event, the provision of food, personal or Participant Group equipment, fuel for catering or catering equipment. 
Information and prices
We have published information on Isle of Wight Revolution on our website, in brochures, and across social media platforms including details of our prices, activities, facilities offered, and promoted experiences and taken reasonable care to ensure that all information is correct at the time of being published. 
However, we reserve the right to make changes to the advertised information, If there are any significant changes or we find any mistakes, we will advise you of this amended information as soon as reasonably possible. 

Booking Terms and Conditions
Registration:
To register as a Participant Group, you must complete the online booking form, including all required personal and medical details must be completed.
Your booking is not complete until the full payment for your Event Fee has been made. This must be in the form of cleared funds and be made by BACS transfer in GBP to the account detailed on the registration form.
You will not be entitled to attend the event if you have not paid your Event Fee in full as noted above. If your booking is cancelled due to non-payment in full, you will not receive any refund of any monies partially paid.

Payments
You will receive an invoice on completion of your booking outlining your Event Fee. 
Please check your invoice carefully and contact us within 48 hours if you have any queries. Payments must be received by us at the agreed payment dates otherwise we will be entitled to cancel your booking in line with our cancellation payment policy. 
 All payments are to be made by cheque or bank transfer as set out on your invoice

Cancellations of the event
We will endeavour not to cancel this event but if we cancel 2 months prior to the start date we will return any amounts paid by you.
If we need to cancel the Event within 2 months before the Event start date, for whatever reason, money will be refunded to the extent that it has not already been spent or committed to be spent. This is likely to mean that, in some circumstances, no Event Fees can be refunded. Such circumstances may include but are not limited to an outbreak of a public health concern. Any refund will be entirely at our discretion.

Changes for reasons beyond our control
 This event will take place irrespective of inclement weather; however for safety or logistical reasons we may alter any part of the event in view of conditions at any time during the event, including cancelling any part of the event. 
 Some changes are necessary because of unusual and unforeseeable circumstances which neither we nor our suppliers could foresee or avoid, even with all due care. These circumstances include industrial disputes, closure or congestion of ports or airports, road blockades, unavoidable technical transport problems, war, civil unrest, terrorist activity, natural or nuclear disaster, epidemic or disease, adverse weather conditions, natural or manmade disasters or similar events. In these circumstances we shall be relieved of all liability, financial or otherwise, in respect of failure to perform such duties.

Cancellation by you
If you cancel, the lead member of your party must give notice to cancel in writing to revolutioniow@gmail.com. The date of cancellation will be the date we receive your written instruction. 
Once you have paid your Event Fee payment we immediately incorporate you into our plans and start booking activities, this includes spending money on your behalf. Due to this we are unable to provide any refunds if you are unable to attend. 
However should you cancel prior to 3 months before the start of the Event, please contact us as we may be able to allocate your space to someone else and therefore a refund may be possible.
Should you cancel withing 3 months of the Event we are unable to issue any refund.
There are no refunds or reduced charges for late arrival or early departure from Isle of Wight Revolution, or for anyone who is or becomes unable to travel (whether for health or other reasons) 
No refunds or compensation will be offered to participants who are refused entry or who are ejected in accordance with the Code of Conduct and these Terms and Conditions. It may also mean that we will not accept a future booking from you, and you may also be responsible for any loss or damage we incur.

Changes made by you 
You may exchange one Participant for another, provided their overall numbers are unaffected. up to 1st March of the year of the event. After this date any name changes must be put in writing to revolutioniow@gmail.com. 
If we have capacity, you can add additional members to your Group, It is not possible to change your booking to fewer places. 
Should you need to make any amendments to your booking after you have completed your booking you can do so by updating your booking within your booking account.

Each attending Group must ensure that all of their Unit Leader/volunteets comply with the requirements of The Scout Association, and Girlguiding, including but not limited to: 
i. Safeguarding, including the need for DBS checks. 
ii. Mandatory ongoing training. 
iii. Unit Leader to young-people ratios for each section. 
iv. Night Away Permit requirements for an event on a ‘campsite’, or REN form completion
(or the national equivalents as applicable).

Restrictions 
 In circumstances deemed reasonable (including but not limited breach of any site rules or of the Code of Conduct) we reserve the right to restrict entry to or exclude from any area being occupied by Isle of Wight Revolution at any time.  
Your Journey, Transport Conditions and delays and Travel
 We are not liable for any independent transport operator delays or cancellation. 
 It is your responsibility to plan your journey and we will not offer a refund for reduced attendance if insufficient time has been allowed for travelling. 
There can be no arrival by Groups on the site before the first day or stay beyond the last day of the event, please contact us at revolutioniow@gmail.com if you need accommodation on the Isle of Wight before or after, and we may be able to give you contact details of other scout accommodation.


Facilities
We will provide suitable sanitary facilities and drinking water on the site. However sometimes facilities or services may be withdrawn or not fully available for reasons over which we have no control. You agree and accept that some facilities may only be open during peak demand, which is generally at the start and close of a day.
Special requests/needs
Special requests must be indicated to us at the time of booking; however, they cannot be guaranteed. Any customer with restricted mobility or particular care requirements must inform us at the time of booking. Whilst, we will use reasonable endeavours to accommodate such needs, they cannot be guaranteed unless we confirm this to you and if we are not informed we will not be liable for any loss.


 Our responsibility to you as a consumer:  
 Our obligation to you is to take reasonable skill and care. We are responsible to you for foreseeable loss and damage caused by us failing to use reasonable care and skill but we are not responsible for any loss or damage that is not foreseeable. Loss or damage is foreseeable if either it is obvious that it will happen or if, at the time the contract was made, both we and you knew it might happen, for example, if you discussed it with us during the sales process. We do not exclude or limit in any way our liability to you where it would be unlawful to do so. This includes liability for death or personal injury caused by our negligence or the negligence of our employees, agents or subcontractors; for fraud or fraudulent misrepresentation; for breach of your legal rights in relation to any products (specifically the food provided as a part of your ticket price).

The Organisers are not responsible for any damage, theft or loss caused to personal property brought into the Event.


Your responsibility
 We want all our participants to have an enjoyable camp, you must remember that you are responsible for your actions and the effect they may have on others. You must abide by the UK Scout Association Policy, Organisation and Rules and Isle of Wight Revolution’s code of conduct. 
Take reasonable care of your camping area and take precautions for your own safety and safety of others in your Group. If you are asked to make adjustments to your pitch or your site, you must comply with this request. 
Noise must be kept a minimum on site from the hours of 10:00pm – 07:00 am out of respect for other attendees and the local community. If we (or another person in authority) believe your actions could upset others or put them in danger, or damage property, we may end your participation. This could mean you are prevented from staying at the site with immediate effect.


 Leaders' children’s supervision & parental responsibility
It is preferable that no children under 14 attend Isle of Wight Revolution, however we are aware that sometime this is required. If you intend to bring children of any age under Explorer age, please contact the Management team in advance as we may be able to advise of other suitable accommodation.  
It is our policy that no children aged under 8 years old are able to sleep on-site, for those aged over 8 but not Explorers that do sleep on site, camping fees will apply to cover site costs.  
Children who are not Explorer age will not be able to partake in the daytime events.  
Please ensure that you have the appropriate parent / leadership representation if you plan on bringing children, abd you are responsible for the supervision of your children. 
All people under 18 must be accompanied by an adult (over 18) who is solely responsible for them for their duration of the event. Groups are the responsibility of their leader.  Data protection and your privacy
Please read UK Scout Association (Privacy Policy) (https://www.scouts.org.uk/por/2-key-policies) as it includes important terms which apply to you. The Privacy Policy helps you understand how Isle of Wight Revolution may collect and use your personal data in detail. 
 In order to process your booking and to help us provide you with a more personal service we need to collect certain information from you, including (where applicable) name, address, age of party members, payment details, mobile phone numbers, email address and any other special requirements which may affect your arrangements. 
We take full responsibility for ensuring that proper security measures are in place to protect your information. In making this booking, you consent to the information being passed on to relevant organisations 
. Under Data Protection legislation, we believe we can demonstrate that we have a Legitimate Interest in using your data for some marketing purposes, such as sending you a newsletter, email or information through social media specifically to do with Isle of Wight Revolution.
Please check our Privacy Policy for more details on how you can, at any time, opt-out of our use of your data, or you can opt out by clicking the unsubscribe link on the bottom of any email newsletter or alternatively, please contact us to arrange this for you. Please note: if you do unsubscribe from promotional contacts, you will still receive essential calls, SMS text and email communications specifically relating to matters that will affect your stay at Isle of Wight Revolution

 Photography
 Isle of Wight Revolution will be taking photos and videos during the event. These images will be used by Isle of Wight Revolution to share news about the camp, and to publicise our next event. Images may be used in press releases, printed publicity and published on Isle of Wight Revolution’s Social Media Streams such as Facebook, Instagram & Snapchat. They will be stored securely. If you would prefer for you or a participant of your group to not be photographed, please speak to the management team on arrival or contact them in advance of arrival and we will facilitate the management of these photos to our best efforts. If you would like to see your images, or would like us to delete them, please email us on revolutioniow@gmail.com.

If you have a complaint 
If you have any reason to complain before the event please email revolutioniow@gmail.com. If you have reason to complain during the event, you must complain on the spot or as soon as possible to the Management of Isle of Wight Revolution, who will do everything reasonably possible to resolve the problem. If the problem is not resolved, you can escalate to our District Lead Volunteer.

Changes to these Terms and Conditions 
If it is necessary to vary or update these Terms and Conditions, the Organisers will publish the updated version to the Event website indicating the date of the change.

Data collected for Isle of Wight Revolution is treated in the same way as data collected by The Scout Associations.

What information do we collect and why?
As a membership organisation we collect and process information about our members to provide Scouting to them. This may include Personal or Special information such as:
Name and contact details
Gender
Date of Birth
Religion
Ethnicity
Scouting Position, Group, District and County Details
Award Information
Event Information
Details on Scouting Career
Qualifications and Permits

We use this information to communicate with our membership and carry out our obligations as a Scouting County. We have a responsibility to keep information about you, both during your membership and afterwards (due to our safeguarding responsibilities and also to help us if you leave or rejoin).
The use of personal data includes:
To enable us to provide a voluntary service for the benefit of the public
To manage our volunteers
To manage our membership records
To update members
To report on our membership
For financial accounting

We use registration forms to sign up for activities and events. We collect this information to facilitate the event. It is often necessary to also collect sensitive information relating to the participant including health information. This is used to safely facilitate the event and isn’t passed to any third party – with the exception of medical professionals in the case of a medical emergency.
We may send you communications relating to the event you have registered for using the details provided. If you have been asked to provide an ‘Emergency’ or ‘home contact’ we may contact them during the event if required.

Bookings
We collect personal information, where provided, to enable us to fulfil enquiries and facilitate bookings.
This information includes:

Details of participants (potentially including health information)
Payment information

We store booking information in a secure booking management system. We use your information to facilitate the booking or event. If you have opted to hear from us going forward we may also contact you with marketing communications.

Accident reporting
We have a duty to report accidents and near misses. The nature of the incident will determine the process followed.

The accident report will be kept in line with National Scouting guidelines and the requirements of our insurers.
Photography and videography
Attending Isle of Wight Revolution may mean that you are photographed or videoed. We will use these images for non-commercial Scouting purposes including promoting future events, social media, documents and publications, websites, press.
If you do not wish to be photographed/videoed you can make the event organiser or the camera operator aware and we will do our best to comply with your wishes. If your photograph is taken and subsequently published, you can contact us at revolutioniow@gmail.com to request to have it removed.
We aim to seek appropriate permission before publishing full names alongside videos, images or quotes which identify the individual.

Payments
Electronic payments are handled directly by our payment merchants and we do not store your payment data. This information is stored as per the payment processing merchants’ policy. We do track payments and use payment data to ensure our terms and conditions for attending Isle of Wight Revolution are met.

How we use your information
Where we collect special category data such as health information and data on young people/adults, processing is carried out in the course of our legitimate activities with appropriate safeguards, on the condition that the processing relates solely to members, or former members of The Scout Association.’ Condition (d) in Article 9(2).

How your information is stored
Isle of Wight Revolution uses a number of specialist systems for storing and processing personal information. We carefully select the providers that we work with to ensure they have strong data policies in place and meet the requirements of GDPR.

How long your personal data will be kept
We keep information for different periods of time for different purposes as required by law or best practice. Event information is normally kept for 1 year following the event. Isle of Wight Revolution information is kept for marketing our following event.

Who do we share your personal information with
As a membership organisation, member data is shared with The Scout Association.
We don’t share personal information with third parties except where expressly detailed or where required by law enforcement.

Your rights
GDPR legislation gives you a number of rights regarding your personal information which you can access at no cost:
The right to be informed – we aim to be transparent about the information we collect and why we are using it. You can request further information from us at any time
The right of access – you can request the information we hold about you
The right to rectification – you can request us to correct any mistakes in the information we hold
The right to erasure – you can request us to delete the information held on you
The right to restrict processing – you can request us not to process your data in a particular way
The right to data portability – to have us transfer your information electronically to yourself or another provider
